Privacy Policy

TrackMyFlat is apartment and society management software. Apartment committees use it to manage residents, maintenance billing, incidents, amenities, visitors and vendors. Residents and vendors use it to view their own records and act on them.

• Account data: name, email address, mobile number, role and apartment or flat.
• Apartment records entered by the committee: units, occupancy, maintenance dues, payments, incidents, amenity bookings, visitor passes and notices.
• Photos, voice notes and documents you upload for damage reports, ledger digitisation or proof of payment.
• Vendor data: business name, trades, service area, availability and job history.
• WhatsApp data: your WhatsApp number and the content of messages you send to or receive from the TrackMyFlat business number, plus delivery status.
• Technical logs needed to keep the service secure and working.

We use your data only to deliver the service: authenticate you, show you the records you are entitled to see, generate bills, receipts and reports, dispatch incidents to vendors, and send you transactional notifications by email and WhatsApp. We do not sell personal data and we do not use it for third-party advertising.

Messaging over WhatsApp is opt-in. Your number is added to an apartment's contact directory by your committee, and you can opt out at any time by replying STOP or asking your committee to switch you off. Messages are processed to identify your flat, record the action you requested and reply to you, and are stored in the apartment's message log for audit. Message delivery is handled by Meta under its own terms.

Your data is visible to your own apartment's authorised committee members and to TrackMyFlat support staff when assisting them. We use processors to run the service: cloud hosting and database, email delivery, WhatsApp Business Platform (Meta) and Razorpay for payments. Vendors receive only the details needed to attend a job. We disclose data otherwise only where required by law.

Financial records are retained for as long as the apartment's statutory accounting obligations require. Other personal data is retained while your account is active and deleted or anonymised within 30 days of account deletion, except where law requires us to keep it.

You can access, correct, export or delete your data. Residents and vendors can delete their account in the app under Profile or Settings. You can also write to us and we will action the request within 30 days. See our data deletion instructions.

Data is encrypted in transit, access is scoped per apartment and per role at the database level, and privileged actions are logged. Payment card details never touch our servers.

TrackMyFlat is not intended for use by anyone under 18.
